Representative from EHS named Victor telephoned my office claiming to be "calling from" the conference organization. When I asked questions about making changes to the reservations, he told me I had up to 30 days before the event to do so. There was no mention at all of penalties or fees. He quickly walked me through filling out and signing various forms (namely a credit card authorization form) while he was on the phone with me.

Less than a week later, I received an email from the conference organization warning its exhibitors about a "hotel scam" and informing us that to secure lodging through a third-party vendor "may be engaging in illegal activity." I immediately called EHS to request a cancellation and kept getting redirected to a "receptionist" voicemail box. I then sent an email to support services, and someone named Isabelle wrote back saying that I had to pay a 25% cancellation fee of the entire amount! Even when I explained that the representative had falsely identified himself and given me misinformation about the cancellation policy, she refused to waive the penalty fee or to issue a refund for the $353 deposit that had already been charged to my credit card. The $353 room deposit turns out to be exactly 25% of the total amount -- in other words, I'm never seeing that money again.
